Where we use AI
One place, today: the AI receptionist on our Sydney phone line 02 8880 5992. When you call us, an automated voice agent answers. You'll be told this at the start of every call.
We do not use AI to: write the quotes themselves (real human contractors do that), decide which contractors get your job (a postcode + capacity rule does that), generate the content of our marketing emails, or read your messages to improve the AI. None of your conversation data is used to train any AI model.
What the AI receptionist does
- Greets you, identifies itself as an AI, and lets you ask for a human at any time.
- Lets you choose between three branches: a quote for a venue, a contractor question, or general questions about the service.
- For venue quotes, asks the same questions the website form asks — business name, address, trap size if you know it, access type, urgency, contact details — and submits your request to our matching system.
- For contractor questions, takes your details and routes them to Mario.
- Answers common questions about pricing, licensing, timing and fines from a knowledge base we maintain.
How to skip the AI entirely
- Email us at hello@greasetrapquotes.com instead of calling — we reply within one business day.
- Or call and ask for a human as soon as the AI picks up. The call routes to Mario or arranges a callback at no extra step on your side.
- Or submit a quote request via the web form — that path doesn't touch AI at all.
What we record on a call
- The call audio — both sides of the conversation.
- A written transcript generated by speech-to-text.
- Caller ID (the number you call from), start and end time, duration.
- Structured fields the AI extracts from the conversation so it can submit a lead on your behalf — the same fields the web form collects.
Audio recordings and transcripts are kept for 90 days, then deleted. Extracted lead data follows the same 24-month retention as a web-submitted quote.
Who processes the call
- Zadarma (Estonia, EU) — runs the phone line and hosts the AI agent.
- OpenAI (United States) — the large language model the agent uses to understand and respond. Accessed via Zadarma; OpenAI's terms with Zadarma exclude training on your conversation.
- After the AI submits your quote request, the data follows the normal path — Supabase (Sydney), Brevo (EU) for email, Twilio (US) for SMS, and the contractors we match you with. Listed in section 3 of the Privacy policy.
Decisions the AI does and does not make
The AI does not make decisions about you with legal or significant effect. Specifically:
- It does not decide whether to accept or reject your quote request.
- It does not decide which contractors quote you — that's done by our matching system based on postcode, contractor capacity, licence status and availability.
- It does not set prices.
- It does not screen contractors.
You can request human review of any matching decision, or how the AI handled your call, by emailing hello@greasetrapquotes.com.
Voice biometrics: no
We do not capture or analyse voice prints. The agent recognises words, not speakers. We do not use any voice-biometric techniques to identify, profile or authenticate callers.
Accuracy and limits
The AI sometimes mishears, sometimes misunderstands, sometimes invents an answer it shouldn't. We've designed the venue-quote flow to read details back to you ("I heard 123 King Street, Newtown — is that right?") and to keep contractor questions out of its mouth and in Mario's. If something the AI tells you is important — pricing, timing, licensing — confirm it via email or the website. The website is the authoritative source.
